Title: Transfer Associate II Location: US-MI-Southfield-Southfield Other Locations: Job Summary: Under limited supervision, uses intermediate skills obtained through experience and training to complete the processing of customer transfers. This process is composed of researching basic problems, monitoring work flow, maintaining department statistical information and providing operational support to our clients. Provide excellent customer service, professionalism and efficient support to internal and external customers. Essential Duties and Responsibilities: * Reviews and approves client requests to transfer accounts which may also include a request to change the client registration at the time of the transfer. * Screens incoming client requests and verifies all necessary legal documentation that accompanies the client signed documents. * Requests various legal documents from branch personnel. * Scrutinizes basic information contained in all types of transfer forms and letters of authorization. * Maintains accurate records/notes to ensure all client requests are completed within regulated time allotment. * Calculates and understand market value versus firm risk when transferring client assets. * Reconciles client accounts to reflect transactions. * Types and distributes correspondence. * Assists management in identifying procedures and policies that are outdated or ineffective. * Assists management to improve department productivity through participation in unit meetings, ongoing training and self development. * Answers mail, phone calls and email inquiries with exemplary Service 1st professionalism. * Maintains and files weekly statistical reports for the department. * Performs general clerical activities, including faxing, copying and filing. * Assists other areas of the department with various functions when volume is high and/or staffing levels are low. * Perform box count on a rotational schedule. * Performs other duties and responsibilities as assigned. Knowledge, Skills, and Abilities: Knowledge of: * General understanding of each type of security held by the firm and an understanding of the similarities and differences of each security, especially in terms of their complexities. * General understanding of all job functions within the department. * General understanding of various industry rules and regulations that must be followed when transferring accounts. * General understanding of Securities Processing and other Home Office Operations departments. * Home Office policies and procedures. * Basic office practices, procedures, and methods Skill in: * Organizational and time management skills to prioritize workflow and ensure duties and projects are completed by deadlines. * Reasoning and problem solving skills to research and resolve general problems. * Operating standard office equipments and using required software applications, including Microsoft Office applications (Word, Excel, Power Point, Outlook and Access) sufficient to create documents, spreadsheets, and business correspondence. * Communication skills and professional demeanor to interact with all levels of management, other associates and counterparts at other firms. Ability to: * Work independently and in a team environment as well as cooperation with supervisor. * Work well under stress created by time deadlines, workflow volume changes, and telephone/associate inquiries. * Learn and understand the various legal documents required by various companies in order to process client requests. * Learn and apply new information, skills, and processes, quickly including the various regulations, back office systems and imaging system. * Read and interpret financial statements. * Demonstrate efficiency and flexibility in performing detailed transactional tasks in a fast-paced work environment with frequent interruptions and changing priorities. * Perform accurate data entry, 10 key by touch, and type at least 30 words per minute. * Provide a high level of customer service. Educational/Previous Experience Requirements: High School diploma or equivalent with a minimum of one (1) to two (2) years of customer service and/or securities related experience preferred. ~or~ An equivalent combination of education, experience and/or training.
