The Estate Trust Specialist shall provide extensive support for all aspects of administering estates and personal trusts. Candidate will assist trust officers to effectively carry out our duties as trustee and thrive on providing an uncommonly high level of client service. The position also includes the first line of communication with many clients and will be seen as an integral part of the trust team by the client. By accepting responsibility for the quality and correctness of the daily work as well as developing a deep knowledge of client accounts, the position plays an invaluable role in our ability to be the highest quality trust provider. Coordinate and manage the settlement of estates: involvement in every aspect of estate settlement including marshaling/inventory of assets, collection of bank accounts, and assistance with disposition of personal property and real estate, preparation of accountings and other documentation for tax and distribution purposes, and communication with interested parties. Primary responsibility for the proper administration of most ILIT s including Crummey letters and notices, insurance premium payments, and periodic reviews. The position is responsible for performing or overseeing all account administrative activities including initiating account transactions, daily cash mgmt, securities movements, data integrity and client statements. The individual must manage multiple responsibilities and projects and will need to prioritize activities on an ongoing, daily basis. Candidate will have accountability to ensure significant client asset portfolios and multi-million dollar transactions are accurately recorded and accounted for. Position Accountabilities Processing New Accounts: Knowledge of documents/agreements/wills/codicils Determine Trustee responsibilities Collect and track required forms Prepare and assemble account info/documents including checklists and Account Synopsis Name/Address/Cross-Reference upkeep Monitor funding processes Collect bank accounts, brokerage accounts and all assets to be funded to the account and set up assets upon receipt ensuring proper documentation for non-standard assets on file (real estate, mineral interests, etc) Ensure tangible assets have been properly stored in vault or safekeeping Setup Income/Principal remittances Prepare fee analysis and documentation Daily Activities: Manage daily flow of incoming work/mail Process receipts/disbursements/wire transfers/bill paying Enter various transactions including trades, remittances, distributions, income items and income maps Settle daily trades and cash movements with banks, brokers and custodians Monitor cash and correct daily overdrafts Review daily transactions for accuracy Research and analyze historical data as necessary Maintain complex ticklers Ongoing Duties: Tracking and maintenance of documentation required for Account Agreements, Discretionary Payments, Fee Exceptions, etc. Prepare 60 day and annual account reviews Monitor tax processing (xxxx s, xxxx s, estate taxes, property taxes, etc.) Communicate with Attorney and/or Tax Counsel Work with estate administrator in performing essential duties of personal representative or trustee in the settlement of estates Various account/client projects such as estate inventories, sales,distributions, reconciliations and cost basis research Manage and monitor all aspects of ILIT account administration including Crummey letters, insurance payments and periodic reviews Education: Bachelors degree in Business, Accounting or Finance is preferred, but not required. Desired Qualifications Minimum 5 years Trust Administration/Estate Administration experience Thorough knowledge of fiduciary accounting and trust accounting system and Fiduciary Income/Principal Accounting Trust and Estate regulatory knowledge Understanding control and risk issues MS Word, Excel skills essential MOS Certification Preferred Travel & Hours This is a non-exempt position that may require some Saturday work hours and overtime during workweek. Qualified individuals must either reside in or near Southfield, Michigan or be willing to relocate to the area for this opportunity at his/her own cost.
