High Level Executive Administrative Assistant position in Oakland County - short term contract 4 month assignment starting early February Essential Duties and Responsibilities 1. Schedules internal and external meetings and convenings: coordinates calendars, assembles meeting materials, makes meal arrangements, and confirms appointments for the department. Interacts regularly with high-level local and national business, government, and non-profit leaders. 2. Provides coordination for special events and meetings that involve the entire staff 3. Coordinates business travel, airfare bookings, accommodation arrangements, car services, and Outlook itineraries for Executive Office members. 4. Assists with program department budget tracking. Responsible for processing department expenses, preparing expense reports, and resolving discrepancies with finance. 5. Serves as first point of contact to external stakeholders. 6. Serves as first point of contact to internal stakeholders relating to documents and information relating to the Executive Office. 7. Prepares correspondence, proofreads memos, creates charts and excel spreadsheets, and manages contacts and distribution lists. 8. Undertakes special research projects and prepares written reports as directed. 9. Completes consulting contract internal forms, routes for approvals and distributes executed documents to external consultants and Finance. 10. Prepares mailings and shipment of materials, opens and distributes department mail. 11. Represents the foundation externally (orally and in writing) in a highly professional and customer service focused manner. 12. Responsible for filing, document management and preparation of special projects as requested. 13. This position may request some local off-site work and light travel for the purpose of meeting preparations. 14. Performs other duties as assigned. 15. Strong commitment to the organization's vision and values with the ability to demonstrate that commitment in daily interactions. Supervisory Responsibilities No supervisory responsibilities in this position. Education and/or Experience Bachelor’s degree including course work in business communications, office management, and related areas. Preference of a background in Communications or Public Relations. A minimum of three to five years of professional administrative office experience. Strong interpersonal and communication skills necessary to interact as a team member and with Foundation colleagues. Proven experience with advanced Microsoft products and other software essential to accomplishing the work of this position. Project Management Software knowledge a plus. Proven experience and skill with calendar management, travel arrangements and proofreading. The proven ability to maintain confidentiality and practice discretion.
