Executive Administrative Assistant, Auburn Hills, MI Our client, a global, Tier I supplier to the automotive industry, is in search of a Executive Administrative Assistant to support a senior level VP for their Auburn Hills, MI location. This position is responsible for: calendar management, travel coordination, review incoming correspondence and prepare responses, handle meeting set up (physical logistics, conference call and video conferencing arrangements), coordinate executive management meetings (domestic and international travel arrangements, hotel, restaurant arrangements, presentation materials, expenses, etc.) and other administrative tasks deemed necessary. REQUIREMENTS: Proactively manage itineraries/meeting planning based on trip guidelines and make all travel arrangements (domestic and international) for executive level Process timely and accurate expense reports for manager and direct reports Management and maintenance of confidentiality of personal information Demonstrated high degree of professionalism/polish in executive interactions Work cooperatively with other administrative assistants, in positive partnership to support each other Perform routine tasks such as those related to monthly staff meeting communications, monthly report collection/distribution, group directory and organizational chart updates, weekly time sheet reporting, etc. Provide regular status updates if work is outstanding Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software Answer phone calls and direct calls to appropriate parties or take messages Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees and boards of directors Attend meetings to record minutes Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work Open, sort, and distribute incoming correspondence, including faxes and email QUALIFICATIONS: 5+ years of experience supporting senior leadership within a large corporation (automotive preferred) Experience working with frequent travelers/remote site executives Professional, refined profile with expertise and experience working for senior executives Proven ability to meet senior executive expectations with accurate and efficient delivery Proven PC skills, highly proficient in Microsoft Office applications (Powerpoint presentations is a must) Exceptional experience with: calendar management, time & expense management support, meeting coordination, meeting support planning Highly intuitive, positive attitude, self-motivated and strong accountability Team and service oriented; enjoys supporting a senior executive while being part of/contributing to a broader team Confidentiality and discretion regarding sensitive topics.
